Workflows

All the information here refers to workflows that can be used outside the bounds of Automated Workflows (i.e. the aw module). These legacy workflows are referred to simply as 'workflows'.

Introduction to Workflows [Legacy version]

kiosk uses workflows to streamline request and approval processes.

There are a number of processes that will require management attention: leave requests, timesheet data entry, expenses.

  • A leave request will automatically send an email to the employee’s manager or leave approver for approval (or rejection) when submitted.
    Leave approved in kiosk is then made available in Ready Pay for import into the payrun.
  • Timesheet entries cannot be imported into the payrun until a timesheet approver has verified the timesheet information as correct and approved it.
    Timesheets can be configured to send an email to the employee’s timesheet approver when submitted.
  • Expenses claims will also send an email to the employee’s expense approver when submitted.
    Unlike leave requests and timesheets, approved expenses are not automatically available in Ready Pay to import, they must be exported.

 

The customisable Dashboard displays a summary of not only the employee’s workflow items but also Team Leave Requests, Team Timesheets and Team Expenses for managers/approvers.

The Team Leave Requests dashboard element is capable of directly Approving or Denying the request, others provide a quick link to the relevant workflow screen in the My Team menu.

 

 

Setting up Workflows

To use the kiosk Workflows, they must first be enabled:

  1. Open Ready Pay
  2. In the Navigator go to Company Definitions > Maintain Company and click on the Preferences tab on the right pane.
  3. In the Workflow Defaults section, tick the Enable Workflows check box.
  4. Specify a company Default approver.
    If the normal workflow approver path for any employee is broken (for example because the manager/approver has been terminated), the employee's workflow is diverted to this approver.ad.
  5. Repeat these steps for all companies.
